Position: Office Administrator & Accounts Payable/Receivable Coordinator

Location: Brea, CA – Full-Time Onsite

Position Description

As the Office Administrator & AP/AR Coordinator, you will play a central role in supporting both administrative and financial operations. You’ll oversee key office functions while assisting with accounts payable and receivable tasks to ensure smooth day-to-day workflows and accuracy in billing, collections, and payments.

Duties & Responsibilities

Office Administration

  • Oversee day-to-day office functions, including supplies, mail distribution, and workspace organization.
  • Act as the primary point of contact for visitors, incoming calls, and emails.
  • Coordinate meetings and internal company events.
  • Maintain digital and physical filing systems, vendor records, and compliance documents.
  • Provide general administrative support to internal departments as needed.

Accounts Payable (AP)

  • Process vendor invoices and ensure timely payments aligned with company protocols.
  • Match invoices with purchase orders and receiving reports to verify approval.
  • Manage vendor accounts, respond to inquiries, and maintain positive supplier relationships.
  • Initiate check runs, ACH payments, and work with accounting team as needed.
  • Reconcile AP accounts, identify discrepancies, and resolve issues.

Accounts Receivable (AR)

  • Create and send customer invoices and monthly account statements.
  • Monitor incoming payments and apply funds to the correct accounts.
  • Follow up with customers on outstanding balances and coordinate collection efforts.
  • Assist with AR reporting and month-end close processes.
  • Maintain accurate and up-to-date customer and credit records.

Qualifications

  • High school diploma or equivalent required; Associate’s or Bachelor’s in Accounting, Business, or related field preferred.
  • Minimum 2 years of hands-on experience in office administration and AP/AR roles.
  • Proficient with Microsoft Office Suite (Excel, Word, Outlook).
  • Familiarity with accounting systems like Sage or ERP platforms.
  • Strong organizational skills and ability to manage multiple priorities.
  • Exceptional attention to detail and numerical accuracy.
  • Clear communication and professional interpersonal skills.

Compensation & Benefits

Hourly Pay: $22 - $24 hourly

Pay depends on relevant work experience, education, training, essential skills, and/or other factors such as specialized or high-demand professions. In addition to the hourly wage, the position will be eligible for performance-based incentives.
